Information on personal data processing for candidates and PhD students of the Warsaw PhD School of Natural and BioMedical Sciences [Warsaw-4-PhD]

In accordance with Art. 13 of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and the repeal of Directive 95/46/EC (General Data Protection Regulation) hereinafter also abbreviated as ‘GDPR’, we kindly inform you that:

1. The administrator of your personal data is the Nencki Institute of Experimental Biology of the Polish Academy of Sciences (Nencki Institute) with its registered seat at 3 Pasteur Street, 02-093 Warsaw. The Co-Administrators of your personal data, within the meaning of Art. 26 of the GDPR are:
– the Institute of Organic Chemistry of the Polish Academy of Sciences with its registered seat in Warsaw at 44/52 Kasprzaka Street;
– the Institute of Physical Chemistry of the Polish Academy of Sciences, with its registered seat in Warsaw at 44/52 Kasprzaka Street;
– the Institute of Physics of the Polish Academy of Sciences (IF PAN) with its registered seat at 32/46 Aleja Lotników, 02-668 Warsaw;
– the Center for Theoretical Physics of the Polish Academy of Sciences (CFT PAN) with its registered seat at 32/46 Aleja Lotników, 02-668 Warsaw;
– the Institute of High Pressure Physics of the Polish Academy of Sciences “UNIPRESS” with its registered seat at 29/37 Sokołowska Street, 01-142 Warsaw;
– Maria Sklodowska – Curie National Research Institute of Oncology with its registered seat at 15B Wawelska Street, 02-034 Warsaw;
– the Institute of Psychiatry and Neurology with its registered seat at Jana III Sobieskiego Street, 02-957 Warsaw;
– the International Institute of Molecular and Cell Biology in Warsaw with its registered seat at 4 Księcia Trojdena Street, 02-109 Warsaw.

2. The joint administration of personal data pursuant to Art. 26, Section 1 of the GDPR shall not affect the exercise of your rights under the GDPR. As agreed between the Co-Administrators, each of the Co-Administrators is the entity responsible for personal data processing in accordance with the GDPR.

3. The Co-Administrators have set a contact point to be contacted for matters relating to the processing of personal data: e-mail: iod@nencki.gov.pl, phone: (22) 5892 275 or in writing to the following address: the Nencki Institute of Experimental Biology of the Polish Academy of Sciences with its registered seat at 3 Pasteur Street, 02-093 Warsaw. Regardless of the above, any of the Co-Administrators may be contacted in matters concerning the processing of personal data.

4. Your personal data will be processed in order to conduct the recruitment process to the doctoral school and, in the case of admission to the doctoral school for the education process implementation, documenting the course of education, as well as performing statistical, archival, statutory and other duties by the Administrator, specified in the Act of 20 July 2018 the Law on Higher Education and Science (Journal of Laws, item 1668) and in other legal regulations, including for the purposes related to the implementation of the recruitment and didactic process on the basis of Art. 6, Section 1, letter a, b, c of the GDPR.

5. Your data may also be processed to:
a) determine and pursue possible claims- in situations provided for by law;
b) send educational and professional offers, i.e. the information on events organised by the Co-Adminsitors, conferences, courses, internships, trainings, promotions, surveys and information on current activities, on the basis of the consent granted pursuant to Art. 6, Section 1, letter a of the GDPR.

6. Your data submission is voluntary, but necessary to achieve the purposes indicated in points 4, 5. If you do not provide the data, it will not be possible to consider your application to the doctoral school.

7. The recipients of your personal data may be entities authorized to obtain data on the basis of legal regulations, including persons authorized by the Co-Administrators to process data.

8. Your personal data will be kept for the period necessary to achieve the purposes for which it was obtained, including: – in the recruitment process- until its completion and consideration of possible appeals, in the education process- for the duration of the studies, and after their completion, for the period defined by law for archiving.

9. You have the right to access and rectify the data, the right to delete your data (subject to the cases referred to in Art. 17, Section 1, letter b of the GDPR), the right to limit the processing (subject to the cases referred to in Art. 18, Section 2 of the GDPR), the right to object and the right to data transfer.

10. As regards the processing of data on the basis of consent, you have the right to withdraw it at any time without affecting the lawfulness of processing, which was made on the basis of consent before its withdrawal.

11. You have the right to file a complaint with the President of the Personal Data Protection Office, if it is justified that your personal data is being processed in a way that does not comply with the applicable regulations.

12. Your personal data will not be subject to profiling. Decisions will not be made in an automated manner.

13. Your personal data will not be transferred to a third country or to an international organisation.
